What is SharePoint?

SharePoint is a part of Microsoft365, just like Word, Excel, PowerPoint, etc. SharePoint is an internet-based service that can be accessed directly on your computer by installing the OneDrive App. SharePoint can also be accessed through a web browser on any computer. SharePoint is compatible with Windows, macOS, Android and iOS.

Why Move to SharePoint?

Transitioning to SharePoint consolidates systems and aligns with the university's move to centralized, secure, cloud-hosted business services.

SharePoint replaces legacy systems like locally hosted department file servers (the R: Drive), and offers more accessibility, collaboration tools, and control over versions and permissions.

What to Expect

IT-SLE will meet with each department and individualize a successful migration from existing shared files (R: Drive) to SharePoint.  We'll help determine the following for each department:

  • Setting up new or existing SharePoint sites
  • Establishing SharePoint site owners
  • Creating document library folder structures
  • Assigning user permissions

Timeline

Our goal is to have each department moved by May 2024.

FAQs

Will anything happen to my Documents and Desktop?

No, these folders have been migrated to OneDrive previously and will not be affected.

Where did our Department Drive (R:) go?

After the migration the R: drive will be un-mapped from your workstation and the Department share will be deactivated. The files will be available on SharePoint.

What if a document or folder was not migrated and is missing?

Contact ITSLE for assistance. No files are being deleted in this process, we can find any missing files on the file servers.

What is the recommended way to sync or department files?

IT-SLE suggests using the "Add shortcut to OneDrive" option. This allows all your files to be found in one location and available on any computer you log into. OneDrive shortcuts can also be renamed to anything you prefer.

When I look at the new document library there are a lot of folders missing.

SharePoint will only display the folders that you have access too. If you believe you need access to another folder, please reach out to IT-SLE or your department's SharePoint site owner.

Where did all the Staff / Student folders go?

If there were files in these folders they were migrated to the root of your OneDrive folder with the name of your NetID.

What are these new icon’s in the bottom left of all my files?

This is how you know SharePoint is working correctly! A cloud icon means the file is available, if you open it the icon will change to a green checkbox indicating it is now on your computer ready for use.

Do I need to use the VPN to remotely access my department files after the migration?

No, you no longer need the VPN to access your Personal or Department files.
